Workers’ Compensation Process with OSMS

Scheduling:

Although we oftentimes have same day or next day appointments available, we understand that with some work comp injuries, you may not want to wait for an appointment. That is why our Acute Injury Walk-In Clinic is available for anyone with work comp injuries to use. Simply walk into our Green Bay or Fox Valley clinic Monday through Friday from 8 am – 5 pm and you’ll be seen immediately by an orthopedic physician for your injury.

Preparing for your Appointment or to Be Seen:

You may be wondering, “What information do I need to provide or bring?” – well, we will make that easy for you! Here is what we need from you and your employer at your appointment or when you walk in:

  • Patient Demographics like date of birth, address, driver’s license, personal insurance, etc.
  • Date of Injury
  • Body part that is injured
  • Employer Information – like employer name, your job title, and your job description
  • Work Comp Insurance Carrier and Insurance Billing Address
  • Case Adjuster name and Contact
  • Case or Claim Number and if this is an open case
  • If you have had any previous imaging, surgery, or treatments, we will need to know where you went, so that we may obtain those records.

What to Expect During Your Appointment or When You Are Seen:

When you arrive, either for your appointment, or to use our walk-in clinic, please check-in using our kiosk. Once you are taken back to an exam room, you will be seen by an orthopedic physician and a treatment plan will be determined based on your injury. Depending on injury, and to help with a diagnosis, x-ray imaging may be taken, and if necessary, an ultrasound, MRI, or CT scan will be ordered.

For patients who require time off from work, or restrictions, a work slip will be provided to them during their appointment.

In the event that a case worker is also present, the patient will first be seen by their physician in private, and then the case worker will be asked to join the patient and physician after the appointment is completed. A copy of the work slip will be given to the case worker.

Follow-up Appointment:

Follow-up appointments and surgery will be scheduled during your initial visit. Employers should be expected to hear from a Work Comp Specialist by the next day regarding their own copy of a work slip and follow-up information. If the contact information is known, office notes and work status updates will be submitted via fax, email, or uploaded directly to the insurance company.

OSMS Work Comp Specialists

We have dedicated Work Comp & Disability Specialists on staff that will assist with the worker’s compensation filing, making the process seamless. A Work Comp & Disability Specialist will be assigned to the injury case soon after the patient arrives for care. The Work Comp Specialist serves as the liaison between the patient, employer, and insurance company. They are the go-to person that will answer any questions, they will help make sure all necessary paperwork and forms are submitted, and additionally, they will also submit notes, get messages to the doctors, and more!

Billing for Work Comp

We will gladly file your claim with your Worker’s Compensation carrier. In order to do this, we do require you to provide us with the following information:

  • Employer Name & Phone Number
  • Date of Injury
  • Worker’s Compensation Claim Number
  • Worker’s Compensation Insurance Company:
    • Company Name
    • Address
    • Phone Number
    • Contact Person
  • Your Health Insurance Card

Please be aware that when filing Worker’s Compensation claims, it may take longer than 90 days to process your claim. If a Worker’s Compensation claim is denied after 90 days from the date of service, it would be too late to submit the claim to your personal health insurance carrier. Health insurance companies require “timely filing”, which means claims must be filed within 90 days of the date of service. Therefore, we file a claim with both insurances at the time of service. This policy protects you if your Worker’s Compensation carrier would deny your claim. Your health insurance carrier will have your claim on file and cannot deny it for “untimely filing”.

Also note that if you should need an MRI or a procedure performed, your personal health insurance may require those services to be pre-authorized for them to be covered. Without your health insurance information we are unable to pre-authorize these services on your behalf. Subsequently, if Worker’s Compensation denies your claim you will be responsible for the full cost of those services.

If we were to receive duplicate payments, the amount would be refunded to the appropriate insurance company. There is no guarantee that either company will pay.

Release of Information

Please note that Workers Compensation cases in the State of Wisconsin are open book. This means that anyone who is involved in the case – insurance companies, 3rd party companies hired by insurance companies, employers, case workers, adjuster, etc. – are all entitled to medical records.
